08 URE 4X4cross Volunteer plan

On Friday at 10;o0 AM, all available racecourse VOLS. will meet at the Rocky Mt. Loop trail head. This is the double parking lot on Rd. 553. This is the starting line for the competition.
Please be as prepared and self sufficient as possible. This means, have plenty of food, drinks, chairs, ect. If you are a recovery vehicle vol. Please have everything in order and ready to go.(winches, straps, snatchblocks, and possibly tools if you are willing)
We will have 5,possibly 6 assistance stations along the course. They will be plainly marked with a number and caution tape. You will have an assigned station where you will ‘’hunker down’‘ for the race. Be prepared to stay in one spot for a while, as the racing time frames will be determined by many variables. Again...be as prepared as possible.
The racing starts at 12 noon on Friday and will go until we have ran as many racers as possible before dusk.
There will be a number of different jobs for the vols. I will handle everyone on a one on one basis and decide where you are most needed...On race day. It is impossible to get to detailed at this point or rely solely on an exact ‘’concrete’‘ plan. I will just see who all we have and go from there, as to who goes where..Trust me....it will all work out.

I will brief everyone, every morning, before racing begins, as to what to do and what to look out for.
Just a few examples of what you might be doing.
*moving caution tape to define different class lines
*bringing transponders from finish line , back to starting line.
*manning the trails where they intersect with the race course, keeping folks off the course.
(Slabpile and Sawmill trails)
*Keeping the crow informed of where they cannot stand to watch the race.(telling folks to PLEASE STAND BEHIND THE CAUTION TAPE!)
*Technical inspection....I will give you a list of what to check for..and you will check to make sure it’s there...or not there.(no front lockers stock class)

Volunteers will receive a t-shirt,weekend pass, and (probably a safety vest(orange) so folks know you are official.

Again...don’t worry about all the fine details right now...that will happen before the racing begins.
DO worry about...making it to the race course..at least an hour before the races are scheduled to begin.
DO be as prepared as possible.
Schedule for vols. Meetings at starting line.

Friday...be there at 10 am(starting line)
Sat. Be there at 7 am (starting line) Any questions...call me at 336-413-0720
Thanks, Dylan Wiles
Sun. Be there at 7 am (starting line)
***Be prepared, in case of rain...the show must go on!!

How will you be comunicating with the folks towing broke rigs off of the trail?

I will most definitely not be able to be there before 2pm friday(dang work) If there is anything i could do to help, maybe just sat or sunday, send me a PM, i would be glad to help, but i just cannot at this point, devote my entire weekend.........

Yeah, maybe I should say...what ever days vols are working, please show up for the meeting , THAT morning, at the time listed.

We have radio communications in place Jeff. This is the key to a succesful weekend on the course. We tested them already, they reach the entire course.

If you get there early and stake a claim...you can camp anywhere on the trails at URE...but I do know, there are a lot of folks planning to be there REAL EARLY...To get a good spot.

Also...broke rigs being towed off the trail and back to truck, is not a priority(not being a smart ass here)The race being run in a timely manner comes first. We will allow a few pauses during the races for movement, but it;s not like we are gonna spend an hour for each rig who may be busted to get back to trailer, before we start racing again. Right now the main priority is JUST to get the busted rig..OFF THE COURSE QUICKLY, So the race is'nt delayed. Radio communication will be the key factor.

Is the section of trail that the race takes place on closed? Or are the volunteers just there to warn the general public that there is a race taking place?

will ya'll be providing camp sites in the group camp for the volunteers?

A note from someone who worked the rock race at the DPG. Don't say please. It makes people think they have an option.

Yea, Dylan I plan to work all weekend and a camp site saved for works that work atleast to days would be great...Could we just camp with the racers? I'm sure we can aqueeze in some place...Also where should I meet you Thursday morning say 9:00?

And yes the trail that the race takes place on will be closed to other vehicles from what has been said...I'm pretty sure you will have to hoof it in to get to the good spots. Dylan correct me if I'm wrong.

Yo D, Im in it- wont get much done this week at work. I will have my $hit there NLT friday AM early, if not that Thursday night. Just holla if you need me to help with tagging the course. You know the #.

It was planned ,at first, to have volunteers stay at group camp. After further developements, it is now reserved for the racers who have paid good money to race. There are a lot of racers and vendors that the group camp will be reserved for. This was not my idea, but I fully support it ...(now anyway). I was dissapointed at first and I voiced that at several meetings. I did not win the fight, and now I fully understand why. (tow rigs,tents,rv's,haulers,...there is over 90 racers signed up so far+ a few vendors) I now support this decision. However this now leaves me with no place to offer the vols., to camp. I regret to say that vols. are on their own, as far as camping goes. As i have no contingency plan for vols. I know,...that sucks, and I may be ripped apart by several of you, but I have no way to change things now. Hopefully a free festival pass and t-shirt is enough pay for the vols. this year. Next year will be different.

Yeah, I know what you mean!

Hopefully, everyone from this board will NOT be a part of this problem...If anything, I hope anyone reading this would be happy to get folks to move out of the course, if they see them in a dangerous spot.

Both! Of course it is everyones land, and everyone is entitled to ride the trails. However we have full ok from the forest service to hold this race, and full support of the rangers, police and sherrifs dept, so now is not the time for folks to say''I pay taxes, I'm going on this trail''. I hope this is a non issue come raceday.

I almost took out a 'trail flea' ATV on Saturday. I was working to get over a ledge, I got denied and had rolled back about four feet a couple of times...I went to roll back and hit it hard the third time, I hadn't moved back a couple of feet and caught an ATV in corner of my eye...he'd been watching, but decided to cross behind me at a bad time (no way he didn't see me roll back the first 2 times, he was 15' away). When I stopped my spare tire was right on him. If they don't care for their own safety in that situation, I don't know how they'll behave on race day. (Especially when they've sat there for 5 or 10 minutes and nothing has gone by). I'm just wondering out loud how they'll respond.

I got hit by a motorcycle too the same day, but hurt him more than me...I got tired of him pushing me, edged over to the side and stopped -- he blipped it, but caught my mirror with his arm. I don't think someone like that would have the patience to sit and wait.

I don't think the 4x4's -- and especially nc4x4 guys -- will be a problem on race day...I think it will be the ATV and motorcycle crowd...US vs. THEM.

I know what you mean. As we have been out at URE promoting this race, we have made it a point to get the word out to every one of them. Not only about the race and festival, but about the trail closure. No one seemed put off by this race and all the atv/bike crowd seemed to be excited also. It will be well known on raceday, where the race is, and where they cant go.

If you are reading this, dont hesitate to potentially save a life, by waiving down anyone and telling them what is going on. We will have every entry point and entersection, on LOCKDOWN, come race time.

Oh, Dylan...check your opening post on this thread....first you say vols meet 1030 Friday, then 1000 Friday....FWIW

wow!? are there any camp sites left open?
I dont know the answer to this, as far as the forest camp sites go, but there are plenty left at the festival camping sites, and trail camping is free. Also, I have seen folks camping at several places along the dirt roads. I dont know if thats legal or not, check with the rangers.

Do we just show up if we want to work the event or should we have received an official invitation to help out?

I signed up some time ago but never heard anything back. Just wondering.

I hope this is not a stupid question but, as the "help", do we have to pay any antrance fee's or parking fee. or any fee?

I am sure that we will have to aquire the normal trail pass. Dylans on site at URE now, so dont expect a reply from him.
